Responsibilities

  • Manage and track course materials and documentation to ensure the event is set up for success, including forecasting and ordering the necessary items
  • Work close with our transport teams to monitor shipments and trouble shoot any occurring issues
  • Take a leading role in the management of document administration (payments, contracts, request forms etc.)
  • Support the registration process for workshop attendees including sending out invitations, invoices, and course confirmations and logistics
  • Process course fees, track and monitor logistical and faculty payments and travel reimbursements
  • Assist with the coordination of event logistics, including venue selection, catering, audiovisual support, and materials shipment and distribution
  • Build and maintain relationships with key stakeholders, including surgeons, industry experts, and healthcare organizations
  • Ensure compliance with all national and local regulations including coordinating legal agreements with industry experts and healthcare organizations
  • What you bring

  • Post-secondary professional education
  • At least 2 years of experience in event coordination or/and project management
  • Excellent communication skills in English, both written and spoken
  • Good communication skills in another European language – Italian or French preferred
  • Organization and time-management skills
  • Ability to work independently and in a team environment
  • Capable of multitasking and prioritizing deadlines and projects
  • Proficient in using Microsoft Office, and especially Excel spreadsheets
